The Role & Organization

Wolf Scholars is Canada's new pre-eminent undergraduate scholarship program focused on developing Canada’s next generation of innovators, builders, and leaders.

Every year, Wolf Scholars will bring together 16 exceptional incoming undergraduates studying a range of disciplines in the University of Toronto’s Faculty of Arts & Science. Wolf Scholars will receive a full academic ride, participate in a joint academic seminar at the Munk School of Global Affairs & Public Policy, travel domestically and internationally, learn from valuable internships and career training, and participate in a leadership development curriculum that will stay with them for life.

We're seeking an energetic, organized, and entrepreneurial individual who is excited about the opportunity to build a high-impact program from the ground up with a passionate team! The Wolf Scholars team is supported by a world-class Advisory board of top Canadian business and not-for-profit leaders.

The Operations Manager will be a close partner to the Executive Director and a key driver of day-to-day operations. This role offers the opportunity to help build systems, processes, and structures that allow Wolf Scholars to operate efficiently and scale its impact.

Over time, this individual will scale operations and governance responsibilities as the program grows.

Essential Duties and Responsibilities

  • Organizational Development:
    • Develop operational systems and processes: Create, implement, and maintain workflows to improve efficiency, documentation, and organizational structure.
    • Governance support: Support the Executive Director in coordinating Foundation Board & Advisory Council meetings, including setting agendas and creating materials.

  • Financial Management:
    • Prepare financial reports: Liaise with bookkeeping / finance and audit teams to prepare financial and narrative reports, and make corrections to the general ledger.
    • Track and maintain financial health: Collaborate with Executive Director to prepare annual organizational budget, provide financial modelling support, process invoices, and ensure accurate financial record-keeping for donor reporting.

  • Administration:
    • Oversee compliance: Ensure Foundation’s internal policies and insurance coverage are comprehensive and up-to-date.
    • Coordinate HR and team processes: Assist with benefits administration, onboarding new team members, and maintaining internal processes to support a growing team.
    • Oversee program and event logistics: Identify and secure spaces for meetings, workshops, and events; manage bookings, payments, and other logistics.
    • Support program initiatives: Assist with development of materials, collateral, and other operational support to drive programs and fundraising efforts.
    • Manage vendor and partner relationships: Coordinate with and negotiate contracts with external partners, service providers, and consultants to support operations and events.

Qualifications

The Operations Manager should hold a university degree. Ideal candidates will embody the core qualities the Foundation aims to cultivate in Wolf Scholars: curiosity about the world, a passion for life-long learning, open-mindedness, a collaborative spirit, humility, optimism, a focus on excellence and a drive to build an impactful program for Canada.

Experience

  • 5+ years of experience in operations or project management – we welcome applicants who are both highly organized and capable of independent problem-solving.
  • Experience with budgeting, bookkeeping, HR/benefits administration, or program logistics is an asset.
  • Experience in startups or higher education is an asset.

Preferred Skills and Platforms

  • Strong proficiency with Microsoft 365 Office Suite (PowerPoint, Excel) to create compelling presentations, budgets, and forecasts
  • Strong proficiency with project management platforms like Asana
  • Strong proficiency with vendor and partner coordination
  • Experience supporting HR, benefits administration, or onboarding processes

Additional Employment Details

  • Reports to: Executive Director, Margot Ghersin
  • Working: Hybrid in downtown Toronto, Canada
  • Salary Range: $80,000-95,000 CAD annually
  • Ideal Start Date: As soon as possible
  • Eligibility: Applicants must be legally entitled to work in Canada
